Keynote venue NYC: one room, two very different events
By the VESPER events team · Published
The best keynote venue in NYC is one where the screen, the stage and the guest experience are solved before anyone walks in, and where the same room can change character by evening. In the last week of September, VESPER at 25 Kent Avenue on the Williamsburg waterfront hosted both: a 100-guest daytime keynote for Rilla on September 28, and a 200-guest creator networking night for Audible x CultureCon three days later. Same 15,000 sq ft floor, same skyline, two completely different rooms.
Key facts:
- 15,000 sq ft main floor with 15 ft ceilings and floor-to-ceiling Manhattan skyline windows
- Up to 400 seated or 800 standing
- Loading dock and a freight elevator 9 ft tall, 8 ft deep and 6 ft wide, with no permit and no time restrictions on load-in
- Kindorf hanger ceiling rated 400 lb every 10 ft for rigging
- Audio, video, LED and lighting in-house through Room 11 Productions; catering in-house through MADRE
- A retractable wall that closes off about 4,000 sq ft as a second room
What makes a keynote venue work in NYC?
A keynote venue works when the audience can see the screen, hear every word and stay comfortable for a full program, and when production has enough time to build and rehearse. Square footage matters less than those three things. Plenty of rooms can seat 100. The harder question is whether the venue will give a production team a full day to hang an LED wall and run cues before guests arrive.
That was the deciding factor for Rilla’s keynote. The contract gave the team the entire day before the event, an 18-hour window for load-in, set-up and rehearsal that could start as early as 4:00 AM. By 9:00 AM on show day the room was ready, and doors opened at 9:30.
How did the Rilla keynote run?
The day ran on a tight, published timeline from 9:30 AM to 4:00 PM, with teardown starting at 5:00 PM. Guests arrived to a self-guided exhibit before the main session, then moved into a keynote room built around a single large LED wall.
- 9:30 to 10:00 AM: guests walked a “Museum of Sales” exhibit installed along the venue walls
- 10:15 AM: opening keynote and video
- Midday through 3:00 PM: speaker sessions back to back
- 3:05 PM: headline speaker, followed by a meet and greet at 4:10 PM
- 5:00 PM: keynote down, teardown begins
Room 11 Productions supplied the staging, the LED video wall and processing, a confidence monitor for speakers, the audio system with wired and wireless microphones, stage lighting and the venue’s LED ceiling lighting. Seating was low lounge sofas rather than banquet chairs, which kept 100 people comfortable through a six-hour program.

The exhibit is the detail other venues rarely plan for. Long white walls and open floor meant the brand could build a walk-through story guests saw before they sat down, which gave the keynote a running start.
Can the same room host a daytime keynote and an evening event?
Yes, and that week proved it. Three days after Rilla, the same floor became a 200-guest creator networking evening for Audible x CultureCon, booked as a 16-hour day with the room available from 8:00 AM.
The evening used a different set of tools entirely: a 12 by 8 ft black stage with two steps, a DJ booth, a custom backdrop and florals framed against the skyline windows. Lighting did most of the transformation. The venue’s LED ceiling ran a warm-white scene for the presentation, switched from orange to blue after a live performance, then moved to a party scene for the two-hour hangout that closed the night.

Food and drink matched the format. A daytime keynote needs coffee and a working lunch that does not pull people out of the room; an evening networking event needs a bar and food guests can hold. For Audible x CultureCon, MADRE’s team ran a three-hour premium open bar with two signature cocktails, five passed canapés and a station.
Daytime keynote vs. evening brand event: what changes?
| Daytime keynote (Rilla) | Evening networking (Audible x CultureCon) | |
|---|---|---|
| Guests | 100 | 200 |
| Load-in | Full day before, 18-hour window | Same day, room from 8:00 AM |
| Seating | Lounge sofas facing the stage | Standing, with high-top tables and lounge areas |
| Stage and screen | LED video wall, confidence monitor | 12 by 8 ft stage, DJ booth, backdrop |
| Lighting | Stage lighting for cameras and slides | Warm white, then performance color, then party scene |
| Food and drink | Built around a full-day program | 3-hour open bar, passed canapés, one station |
| Program length | About 6.5 hours | Presentation, performance, 2-hour hangout |
The common thread is that both events were designed as a whole: production, layout, lighting and food planned together with one team instead of four vendors.
“Rilla had the whole day before to build and rehearse, so on show morning we were checking cues, not hanging screens. Three days later the same floor was a creator party for 200. The windows and the square footage don’t change. The layout, the lighting and the food do.”
Joe, VESPER

How much load-in time does a keynote with an LED wall need?
For a keynote with an LED wall, plan on a full day of load-in, set-up and rehearsal before the event, especially if speakers want to run their slides on the real screen. Rilla’s 18-hour window covered the build, the wall, lighting focus and a proper rehearsal, so show morning was a walkthrough rather than a scramble.
At VESPER, load-in runs through a loading dock and a freight elevator 9 ft tall, 8 ft deep and 6 ft wide, with no permit required and no time restrictions. The Kindorf ceiling is rated 400 lb every 10 ft, so screens, speakers and lighting can hang rather than sit on the floor. The room has carried full concerts, light shows and large LED walls.

Is VESPER easy for keynote guests to get to?
VESPER sits on the 4th floor of 25 Kent Avenue on the Williamsburg waterfront, directly across the East River from Midtown. The building’s 275-car parking garage is available, with valet coordination on request, and guests use passenger elevators while vendors use the freight elevator. For multi-day programs, partner hotels in Greenpoint (The Box House Hotel, Franklin Guesthouse and Henry Norman Hotel) are close by.

Frequently asked questions
How many people can attend a keynote at VESPER? VESPER holds up to 400 seated or 800 standing on its 15,000 sq ft main floor. Rilla’s keynote used lounge seating for 100 guests, which left room for an exhibit along the walls.
Does VESPER provide AV for keynotes? Yes. Audio, video, LED walls, staging and lighting are provided in-house by Room 11 Productions, which handled the LED wall, confidence monitor, microphones and stage lighting for Rilla’s keynote.
How much set-up time do you get for a corporate keynote? It depends on the booking. Rilla booked the full day before the event, an 18-hour window for load-in, set-up and rehearsal, so the room was show-ready by 9:00 AM on the day.
Can VESPER host a keynote and an evening reception in the same space? Yes. The venue’s LED ceiling lighting changes the room between scenes, and the retractable wall can close off about 4,000 sq ft for a second room, green room or back of house.
Is catering included for corporate events at VESPER? Food and drink are provided in-house by MADRE, MICHELIN-recognized, in stationed, passed, plated, family-style or grazing formats, and are quoted with each event.
